  • Location: Yishun Outlet (with weekly visits to Hougang/Midtown & Khatib)
  • Working days: 5 day work week, including 1 weekend (Tues - Sun or Mon - Sat)
  • Weekday Hours: 12:30 PM – 9:30PM (to cover afternoon/evening classes)
  • Weekend Hours: 8:30 AM – 6:30 PM (1 weekend day required)

Job summary:

Be the first point of contact for parents and students at our Yishun outlet, manage enrolment and scheduling across all three outlets, coordinate monthly billing processes, and ensure each outlet is operationally ready through regular visits.

Job Responsible:1. Outlet Operations — Yishun (Daily)
  • Open and close the outlet; ensure the centre is clean, ready, and well‑stocked daily
  • Greet and attend to walk‑in parents and students, handling enquiries with warmth and professionalism
  • Manage student attendance records and update class registers
  • Handle trial class bookings, follow‑up calls, and enrolment onboarding
  • Liaise with teachers on scheduling, class materials, and classroom needs
  • Manage the centre's shared WhatsApp number — responding to parent queries from all three outlets in a timely manner
2. Multi‑Outlet Coordination (Weekly Visits)
  • Visit Hougang/Midtown and Khatib outlets once or twice weekly to conduct operational checks
  • Ensure each outlet is operationally ready — supplies, schedules, signage, cleanliness
  • Coordinate with part‑time staff and teachers at each branch on any operational matters
  • Flag and elevate any issues to the founders promptly
3. Enrolment & Scheduling
  • Manage student enrolment, withdrawals, and level/class changes across all outlets
  • Coordinate makeup class scheduling — matching student requests with available slots and informing all parties
  • Maintain accurate and up‑to‑date student records in the management system
4. Billing & Finance Administration
  • Prepare the monthly billing spreadsheet accurately (student fees, adjustments, makeup credits)
  • Reconcile incoming payments against invoices in Xero using bank feeds
  • Follow up with parents on outstanding payments via WhatsApp in a professional and courteous manner
  • Flag overdue accounts to the founders; liaise with our outsourced accountant when required
5. Parent Communication & Relations
  • Serve as the primary point of contact for parent enquiries across all channels (walk‑in, phone, WhatsApp)
  • Communicate class updates, schedule changes, and centre announcements to parents promptly
  • Handle feedback and complaints with empathy; elevate where needed
  • Solicit and encourage Google reviews from satisfied parents
Requirement:
  • Minimum GCE O‑Level / Diploma; any discipline
  • At least 2 years of experience in admin, operations, customer service, or a related role
